About the Job
Danish Refugee Council (DRC), one of the world’s leading humanitarian NGOs, is seeking a highly motivated Finance and Administration Assistant for its operations at the Mai-Tsebri Field Office.
Overall Purpose of the Role
• Handle payments, administrative duties, and fleet management at Mai-Tsebri base office
• Provide financial and administrative support to DRC and stakeholders
• Ensure full compliance with DRC’s Operational Handbook and procedures
Key Duties and Responsibilities
Finance and Accounting
• Manage petty cash and clear cash advances as required
• Prepare and conduct monthly cash counts
• Maintain proper filing of all financial documents including vouchers, contracts, and tender files
• Perform cash box counts in line with the financial handbook
• Assist in preparation of payment requests and processing of payments
• Ensure all financial records are complete, accurate, and properly filed (hard and soft copies)
• Process withholding tax, income tax, and pension fund payments to relevant authorities
• Prepare receipts, payment vouchers, and other financial documents upon approval
• Ensure office cash remains within approved limits and replenish on time
• Record all financial transactions in the system according to DRC procedures
• Support the Finance Officer with base office financial tasks
Administration and Fleet
• Ensure office systems and equipment (power, water, telephone, photocopier, etc.) are functional
• Follow up on payment of office and guesthouse utility bills
• Manage office supplies and consumables
• Coordinate office and equipment repairs and maintenance with Supply Chain staff in Shire
• Ensure vehicle movements comply with DRC fleet management policies
• Manage rental vehicle driver activities and ensure timely refueling
• Ensure staff identification cards are valid during employment period
• Oversee general office administration and management tasks
• Record, store, and release materials from the warehouse
• Supervise daily activities of the office cleaner
• Work closely with North Area Office Finance, Supply Chain, and HR teams
• Perform other duties assigned by the supervisor
Qualifications and Experience
• Minimum of 1 year relevant work experience, preferably with an international NGO
• Experience in administration and finance-related tasks
• Strong communication skills
• Advanced proficiency in Microsoft Excel
• Basic knowledge of Microsoft Word and PowerPoint
• Strong organizational and planning skills with ability to meet deadlines
Education
• Diploma or Bachelor’s degree in Accounting or a related field from a recognized institution
Language Requirements
• Fluency in spoken and written English
• Fluency in Tigrigna and Amharic
