Job Description

Context
IOM delivers administrative visa-related services through the Canada Visa Application Centre (CVAC) to support efficient and accessible visa processing. Under the supervision of the CVAC Project Coordinator, the CVAC Regional Coordinator programmatically and the Chief of Mission administratively, the Client Service Assistant will provide administrative and operational support to the CVAC.

Responsibilities
Provide client services in line with Immigration, Refugees and Citizenship Canada (IRCC) requirements. Assist applicants by providing accurate information, distributing forms and checklists, responding to inquiries by phone, email, chat or in person, and guiding applicants on available services. Receive and review visa applications, ensure completeness of forms and documents, and assist applicants as needed. Enter application data in the system, perform quality checks, ensure accurate tracking of passports and documents and scan supporting files. Collect visa and service fees, verify payments, issue invoices, reconcile daily collections and ensure secure handling of funds. Support reporting activities including daily reports on applications, fees and call-center operations. Manage the secure delivery and collection of applications and passports to and from IRCC-designated offices. Report operational issues, system concerns and customer complaints to management and recommend improvements. Comply with all IOM rules and policies including Codes of Conduct, data protection, confidentiality and information security. Perform additional duties as assigned.

Qualifications
Education: University degree in Business Administration, Management, Accounting or related fields with a minimum of two years of relevant experience. Institutions must be accredited in the UNESCO WHED database.
Experience: Experience in migrant support or visa services, customer service and team coordination. Knowledge of IOM administrative procedures and financial processes is an advantage.
Skills: Strong customer service orientation, effective organizational abilities, adherence to IRCC service standards, high security awareness and the ability to multitask under pressure while maintaining a positive team approach.
Languages: Fluency in English is required. Knowledge of other IOM official languages is an added advantage. Language skills may be assessed through written or oral tests.
