Job Description
The Material Management Officer will support the Procurement and Supply Department by managing store operations and maintaining efficient inventory systems. The role involves receiving, storing, and issuing materials required for daily company operations.
The position is responsible for maintaining accurate stock records, ensuring proper storage conditions, and safeguarding company assets. By ensuring the availability of essential materials, the Material Management Officer contributes directly to operational efficiency and productivity.
Key responsibilities include:
• Receiving materials delivered by suppliers and verifying them against purchase orders and delivery notes.
• Checking the quantity, quality, and specifications of received materials and preparing Goods Receiving Notes (GRN).
• Reporting damaged or missing items to the procurement department for corrective action.
• Maintaining accurate inventory records including bin cards and stock registers.
• Updating all stock movements within the inventory system or manual records.
• Monitoring minimum and maximum stock levels and reporting low stock levels to the procurement department.
• Issuing materials only upon receiving an approved Material Request Form (MRF).
• Recording issued items in the stock register and ensuring the receiving employee signs the issue document.
• Conducting monthly, quarterly, and annual stock inventories and reporting discrepancies.
• Reconciling QuickBooks stock balances with physical inventory records regularly.
• Maintaining proper store documentation including Goods Receiving Notes and Material Issue Notes.
• Preparing monthly inventory reports and ensuring accurate inventory data management.
• Implementing computerized inventory control systems within the store.
• Arranging materials properly in the warehouse and labeling them for easy identification.
• Maintaining warehouse cleanliness, safety, and proper storage practices including the FIFO method.
• Verifying product specifications with relevant technical departments to ensure accurate inventory descriptions.
• Monitoring reorder levels of inventory and preparing purchase requests for critical materials.
• Conducting regular and random inventory checks to ensure records match physical stock.
• Participating in the organization’s annual stock inventory process.
• Preparing control plans for store staff and ensuring efficient store operations.
• Coordinating with departments regarding daily and weekly material consumption.
• Monitoring and reporting the status of external stores and store assistants to the Procurement and Supply Manager.
• Ensuring the warehouse operates efficiently and that materials are safely stored.
• Maintaining warehouse security and ensuring that only authorized personnel access stored materials.
• Handling sensitive or hazardous materials in accordance with company safety procedures.
• Performing additional duties as assigned by the Procurement and Supply Manager.

Educational Qualification
Applicants must have a Bachelor’s Degree in Procurement, Supply Chain Management, Accounting & Finance, Management, Business Administration, or a related field from a recognized institution.
Candidates with additional training or certification in inventory management or logistics may have an added advantage.
Work Experience
Applicants must have at least 2 years of relevant work experience in storekeeping, warehouse management, or inventory control.
Experience working in agricultural production, horticulture, floriculture, or supply chain operations is considered beneficial.
Candidates should demonstrate strong organizational skills and the ability to maintain accurate inventory systems.
