Job Description
The Human Resources Assistant will work under the direct supervision of the HR Officer and provide administrative and clerical support to ensure the efficient functioning of the HR department.
The role supports recruitment processes, onboarding procedures, personnel file management, payroll preparation, attendance and leave tracking, and overall HR administration.
The HR Assistant will play a central role in maintaining accurate employee records and ensuring that documentation complies with organizational policies and procedures.
Key responsibilities include supporting recruitment activities such as organizing requisition forms, posting job advertisements, collecting applications, arranging interviews, and preparing recruitment documentation.
The role also involves onboarding new staff members by preparing personnel files, ensuring contracts are properly filed, and facilitating staff ID card preparation and distribution.
The HR Assistant will maintain both digital and physical personnel files, ensuring confidentiality and secure storage of sensitive information.
Attendance management, leave tracking, and timesheet archiving are core responsibilities. The position requires accurate updating of leave balances and supporting absenteeism reporting.
The HR Assistant will support payroll preparation by compiling monthly inputs and ensuring supporting documentation is complete. Assistance with pension registration and insurance documentation is also required.
The role further includes supporting employee exit procedures, preparing termination documentation, conducting exit interviews when delegated, and ensuring proper clearance processes.

Educational Qualification
Bachelor’s degree in Human Resource Management, Management, Administration, Social Sciences, or a related field.
Work Experience
Minimum of two years of relevant experience in Human Resources or Administration.
Experience working with humanitarian NGOs is an advantage.

Strong understanding of HR functions and best practices.
Excellent organizational and planning skills with high attention to detail.
Ability to multitask, meet deadlines, and work under pressure.
Good written and verbal communication skills.
Ability to interpret and apply HR policies and basic labor law frameworks.
Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.
Team-oriented with the ability to work independently when required.
Fluency in English and Amharic is required. Knowledge of additional local languages is an asset.
