About the Country/Multi-Country Office
The Horn of Africa Multi-Country Office (HAMCO), based in Addis Ababa, manages projects across Djibouti, Ethiopia, South Sudan, and Sudan. The office delivers solutions in health, agriculture, education, and economic development. Since 2024, HAMCO has advanced projects in healthcare expansion, research capacity, education systems, energy access, and community resilience. The office supports governments and partners in achieving sustainable development and stronger service delivery.
Job Context
The Federal Ministry of Agriculture has established a modern Conference Center as a national platform for agricultural knowledge exchange, policy dialogue, capacity building, and collaboration. Built with UNOPS support, the Center aims to operate sustainably by offering professional event services to government institutions, UN agencies, NGOs, academia, and private sector clients.
Role Purpose
The Project Assistant (Event Coordination) supports planning, logistics, implementation, and documentation of events at the Centre. This includes conferences, workshops, exhibitions, training sessions, and hybrid events. The role contributes to knowledge sharing, capacity building, collaboration, and financial sustainability.
Functions / Key Results Expected
Event Planning and Client Management
• Serve as a point of contact for event-related support to government, partners, donors, and private clients
• Conduct needs-assessment meetings and prepare event proposals, budgets, timelines, and floor plans
• Support the design of customized event packages
• Assist in coordinating contracts for venue rental, catering, accommodation, and transportation
• Promote additional services such as interpretation, live streaming, branded materials, and photography
Event Coordination and Logistics
• Assist in preparing event checklists, run sheets, and timelines
• Support audiovisual and technical requirements
• Coordinate with administration and finance on billing and invoicing
• Oversee room setup, registration, signage, catering, protocol, and cleaning
• Assist with ministerial and VIP protocol requirements
• Ensure compliance with safety, health, and emergency protocols
On-Site Event Management
• Serve as on-site focal person for events
• Manage registration, badges, participant flow, and session timing
• Coordinate with interpreters, rapporteurs, and technical teams
• Provide real-time client support
Post-Event Activities
• Conduct client debriefings and gather feedback
• Prepare post-event reports
• Follow up on payments and issue final invoices
• Archive event materials in the digital repository
Marketing and Business Development
• Promote the Centre through forums and marketing materials
• Maintain a database of clients
• Collaborate with communication teams to position the Centre as a premier venue
Financial and Administrative Support
• Prepare event budgets and monitor expenditure
• Contribute to annual revenue targets
• Maintain inventory of event materials
Team Management and Capacity Building

Required
• Completion of Secondary School

Experience Requirements
Required
• 4 years of relevant experience with a Secondary School Diploma
• 2 years of experience with a Technical/Professional Diploma
• Experience coordinating events of 100–1,000+ participants
Desired
• Experience with high-level UN, government, or international organization events
• Experience in revenue-generating conference venues
• Experience in reporting, analytics, and post-event evaluation
