Job Description
The Building Services Assistant will provide critical operational support in the management, maintenance, and coordination of UNHCR facilities and services in Gambella, Ethiopia. Reporting to the Building Services Associate, the incumbent will ensure smooth service delivery to internal stakeholders and work closely with third-party service providers to maintain high standards.
Key responsibilities include:
- Monitoring and ensuring that all contracted service providers comply with agreed terms of reference, recommending corrective actions where necessary.
- Supporting the organization of official events, receptions, and meetings, liaising with relevant units to meet all requirements.
- Managing and assisting with official vehicle maintenance, usage, and transport services.
- Facilitating internal moves, transportation of goods, and handling office furniture as required.
- Performing minor repairs within UNHCR buildings to ensure operational functionality.
- Assisting with warehouse operations, including receiving and cataloguing equipment and materials, verifying purchase orders, preparing shipments, managing storage, and tracking inventory.
- Supporting the Mail and Stationery Unit as needed, including invoice verification and record keeping.
- Identifying operational risks and opportunities, escalating issues, and ensuring decisions are risk-informed.
- Performing other duties as assigned to support facility management and organizational operations.
This position directly contributes to the efficiency and effectiveness of UNHCR’s operations, ensuring that staff, facilities, and services function smoothly in a high-hardship environment.
Educational Qualification
- High School Diploma with at least 1 year of relevant experience, or
- Bachelor’s degree or equivalent.
Essential certification includes a valid driving license. Familiarity with ERP systems, supply chain, and financial processes is required. Knowledge of UN administrative and procurement procedures is desirable.
Work Experience
- Essential: Experience in support services, building maintenance, logistics, procurement, and financial management.
- Desirable: Knowledge of United Nations administrative, human resources, and financial rules, as well as proficiency in Microsoft Office.
Required Skills and Competencies
- ERP financial management systems (SAP, Oracle, PeopleSoft, Workday, or equivalent).
- Supply chain management using PeopleSoft or similar systems.
- Strong computer literacy and IT skills.
- Ability to coordinate with multiple stakeholders, including service providers and internal units.
- Attention to detail and strong organizational skills.
- Effective communication in English and the local UN working language.
