About the African Union

The African Union (AU) is a Pan-African continental body mandated to promote unity, solidarity, cohesion and cooperation among African states and peoples, and to drive Africa’s integration and sustainable development. The AU invites applications from citizens of Member States for the position of Administrative Assistant at the Secretariat of the ACERWC.

Purpose of the Role

The Administrative Assistant will provide administrative, clerical and office management support to the Office of the Deputy Executive Secretary of the ACERWC and to the Organ at large, ensuring smooth and efficient functioning of the Secretariat.

Key Responsibilities

• Provide administrative support to the Executive Office and ACERWC Units.

• Organise meetings, seminars, workshops and conferences, including venue booking, participant invitations and travel arrangements.

• Make travel arrangements for official missions, fact-finding and follow-up missions.

• Assist in preparing meeting papers, background documents and final reports.

• Support procurement activities: prepare purchase orders, contracts for consultants, payment requests and follow-up.

• Liaise with partner agencies on administrative and financial matters.

• Draft and finalise correspondence, reports and documents ensuring compliance with AU style and procedures.

• Maintain both physical and electronic filing systems, log/registry and contact lists.

• Maintain calendars and prepare travel plans for missions.

• Assist with compilation and maintenance of data for budgets, activity monitoring and reporting.

• Perform other duties as required to support the Office and ACERWC operations.

Academic Qualifications & Experience

Applicants must meet one of the following:

• Diploma in Secretarial Science, Administration, Office Management or related field plus a minimum of three (3) years relevant work experience in government, private sector or international organisations; OR

• Bachelor’s Degree in Secretarial Science, Administration, Office Management or related field plus a minimum of two (2) years relevant work experience in government, private sector or international organisations.

Higher academic qualifications and previous experience with child rights or human rights organisations at regional, continental or international level are advantageous. Experience with diplomatic institutions and international development agencies is an added advantage.

Required Skills & Competencies

• Excellent written and oral communication; ability to draft clear, concise correspondence and reports.

• Strong planning, organisational and secretarial skills.

• Attention to detail and ability to work under pressure to meet tight deadlines.

• Good negotiation and interpersonal skills; ability to liaise with diverse stakeholders.

• Knowledge of workings of international organisations.

• Computer literacy — MS Word, Excel and PowerPoint; familiarity with further office applications is an advantage.

• Proficiency in at least one AU working language (Arabic, English, French, Kiswahili, Portuguese or Spanish) is mandatory. English and French are commonly used in ACERWC work. Fluency in additional AU languages is an advantage.

Tenure & Conditions

Appointment is on a regular term contract for three (3) years. The first twelve (12) months serve as a probationary period. The contract is renewable for a further two years subject to satisfactory performance.

Remuneration & Benefits (Indicative)

• Indicative basic salary: US$ 15,758.00 (GSA5 Step 1) per annum for internationally recruited staff.

• Post adjustment: 57% of basic salary (indicative).

• Housing allowance: US$ 16,813.44 per annum (internationally recruited staff).

• Education allowance: 100% tuition and education-related expenses for eligible dependents up to US$ 10,000 per child per annum (internationally recruited staff); for locally recruited staff a maximum of US$ 3,300 per child per annum.
