Job Purpose
The Admin and Logistics Officer is responsible for ensuring efficient logistics coordination and effective administrative support for IHS programs. The role covers procurement, inventory and asset management, transportation, and office administration while ensuring compliance with organizational and donor policies to support timely and high-quality program delivery.
Key Responsibilities
Plan and coordinate procurement, storage, and distribution of supplies and materials.
Ensure timely transportation of staff, goods, and equipment to project locations.
Support procurement processes including quotations, purchase orders, and supplier follow-up.
Maintain accurate supplier records, contracts, inventories, and asset registers.
Oversee warehouse management, proper storage, labeling, and regular stock counts.
Manage day-to-day office administration, facilities, utilities, and maintenance services.
Ensure proper filing, documentation, and record-keeping for audits and reviews.
Prepare and submit periodic logistics and administrative reports.
Coordinate closely with program, finance, and management teams to support field operations.
Ensure proper use, maintenance, and safeguarding of organizational assets.
Support implementation of safety and security procedures related to logistics operations.
Job Requirements
BA or Master’s degree in Supply Chain Management, Purchasing Management, or a related field.
Minimum of 2 years of experience for Master’s degree holders or 4 years for Bachelor’s degree holders in logistics, administration, or operations, preferably with an NGO or humanitarian organization.
Proven experience in procurement, inventory and asset management, and office administration.
Experience working with donor and organizational compliance requirements is an advantage.
Strong organizational, coordination, and time-management skills.
Good communication skills and ability to work independently and in a team.
Problem-solving ability and capacity to work under pressure.
Basic computer skills including MS Word, Excel, and email.
Safeguarding and Compliance
Ensure full compliance with IHS policies on PSEA, child safeguarding, anti-fraud, and code of conduct.
Uphold the highest standards of prevention of sexual exploitation and abuse within the area of responsibility.
