Background:
The Groundwater Access Facility (GAFA) Initiative, launched in May 2024 in Jijiga, Ethiopia, aims to enhance groundwater resource management in the Horn of Africa. As part of GAFA, UNDP and CIFF implemented the Productive Use of Water program pilot phase in the Somali region. The project focuses on shallow and deep boreholes and water supply infrastructure, deploying two drilling rigs to drill 20 wells with a minimum yield of 3 liters per second using solar-powered pumps. Each site includes at least 100,000 liters of water storage, providing safe drinking and domestic water to approximately 150,257 people, including 60% adults, 27.5% women, and 40% children, as well as 59 health facilities and 66 schools.
Job Summary:
The Logistics Assistant will ensure effective logistical management for the CIFF Water Project under the guidance of the Project Manager and closely work with the Water Construction Manager and other project staff. The role includes managing warehouse facilities, stock, shipping, fleet, facility administration, and ensuring smooth coordination with Addis Ababa-based staff supporting the project.
Key Responsibilities:
- Inventory and Stock Management: Track and manage inventory, maintain proper documentation, manage storage facilities, and reconcile stocks.
- Shipping and Logistics Administration: Coordinate shipments, ensure timely delivery and pickups, process shipping documents, and report on major procurement and shipping activities.
- Administrative Support: Assist in producing quality reports on construction work, maintain logistics and administrative communications, support travel management, manage project fleet and equipment, provide insurance and event management support.
- Facility and Safety Management: Ensure clean and safe facility management standards, manage equipment, and promote a culture of safety and compliance.
- Recording and Reporting: Conduct regular asset inventory, maintain records of project assets, field activities, case studies, photographs, and contribute to knowledge sharing.
- Other Duties: Participate in internal training, capacity-building activities, and perform other duties as necessary for efficient functioning of the office and organization.
Institutional Arrangement and Reporting Lines:
The Logistics Assistant reports daily to the Project Manager, with overall oversight from the Operations Manager/Team Leader – Climate Resilient and Environmental Sustainability Unit. The role involves close collaboration with Procurement, Finance, and Programme teams, as well as field-based partners, government counterparts, and service providers.

Required Qualifications:
- Education: Secondary education required. University degree in Management, Public and Business Administration, Logistics and Supply Chain Management, Economics, Development, or related fields is an advantage but not required.
- Experience: Minimum 4 years (with secondary education) or 1 year (with bachelor’s degree) in logistics and/or supply chain management or related fields. Experience in inventory management, asset registration, office/facility management, protocol, multi-stakeholder coordination, and professional driving with UN or international organizations.
- Skills: Proficiency in MS Word, Excel, Access, and PowerPoint. Knowledge of UN operational standards in logistics and asset management. Fluency in English and the national language; local language is an asset.
