Job Description
Title: Assistant Finance Officer

Role Purpose
The Assistant Finance Officer supports the Senior Finance Officer in managing financial documentation, data entry, and compliance processes. The role ensures timely, accurate, and high-quality financial document management, including data recording, reviewing supporting documents, managing staff advances, ensuring correct coding, and scanning all financial documentation into the Document Archive System. The position plays a key role in maintaining financial integrity, supporting payment processes, managing petty cash, and ensuring adherence to Save the Children financial policies and procedures.

Scope of Role
Reports to: Senior Finance Officer. Staff reporting to this post: None. Dotted line relationship: None. Functional relationship: Area and Field Office Finance, Supply Chain, HR, and Programme teams.

Key Areas of Accountability
Financial Transactions and Cash Management: Collect, disburse, and control petty cash in accordance with SCI financial policies; make payments upon proper authorization and verify supporting documents for accuracy and compliance; maintain petty cash records, prepare cash count sheets, and ensure timely replenishment; prepare cash and cheque payment vouchers with correct coding; process salary and other approved payments; and handle payments for utility bills, withholding taxes, and government obligations in a timely manner.
Documentation, Data Recording, and Reporting: Maintain accurate bank and cash records manually and electronically; prepare General Ledger and Cash Offline Spreadsheet (GLACOSE) entries for review; ensure all payment documents are stamped “Save the Children Paid” and properly filed; maintain an organized filing system for original and copy documents; and scan monthly financial documents into the Document Archive System by the 15th of the following month.
Advances and Reconciliation: Track and monitor staff advances, ensure timely liquidation, support field-level payments and reconciliations, and follow up on outstanding advances in line with SCI policies.
Compliance and Internal Controls: Ensure all financial transactions comply with SCI and donor requirements; support internal control checks and document verification; and assist in audit preparation by ensuring completeness and availability of documents.
Additional Responsibilities: Support the Senior Finance Officer with other financial tasks and perform additional duties assigned within the scope of the role.

Minimum Qualification, Experience, and Competencies
Qualification: BA Degree in Accounting, Finance, or a related field, or an equivalent combination of education and relevant experience.
Experience: No prior work experience required; fresh graduates are encouraged to apply. Basic knowledge of accounting systems and financial processes is required. Proficiency in MS Word, Excel, and Outlook is essential, and familiarity with accounting software is an advantage.
Knowledge, Skills, and Abilities: Strong interpersonal, communication, and presentation skills; ability to work under pressure and adapt to changing environments; ability to work independently and as part of a team; fluency in written and spoken English; and strong commitment to Save the Children’s mission, values, and policies.
