Job Description
Under the direction of the Zonal Branch Head, the Office Assistant performs office management and secretarial duties, assists with organizing meetings, and handles overall administrative matters. The role includes typing and proofreading documents, drafting letters, scanning materials, and ensuring accurate recordkeeping. The Office Assistant also directs work instructions and feedback from the superior to other units, carries out reception duties, and manages communication, scheduling, and filing.
Duties and Responsibilities
Organizes the Office of the Regional Zone Branch and assists the Zonal Branch Head with meetings and office affairs. Performs all office management and secretarial duties. Transcribes audiovisual materials, types and proofreads documents, drafts correspondences, and compiles reports as instructed. Handles routine administrative matters of the Zonal Branch Head. Assists in delivering and following up on directives and feedback. Carries out reception duties courteously and manages appointments and calls. Receives, sorts, and routes incoming communications. Maintains logs of incoming and outgoing letters and ensures proper filing and confidentiality. Operates office equipment, organizes documents for easy reference, and schedules meetings, taking minutes as required. Requests office supplies and ensures proper use and cleanliness of the office. Performs other related duties assigned by the Zonal Branch Head.
Job Specification
Educational Requirement: First Degree in Office Management, Management Information Systems, Management, Business Administration, or Secretarial Science with 2 years of relevant work experience.
